Daily responsibilities
- Manage the busy clinical team and ensuring the smooth running of all appointments
- Making, rescheduling, confirming, and cancelling appointments, optimising the appointment book accordingly to maximise the business opening hours and clinical team
- Process payments in multiple formats, issuing refunds, confident cash handling, reconciling end of day banking
- Managing the clinic emails promptly for all client enquiries, including advice on skincare, appointments, and reactions, as well as client feedback in any area
- Managing the phone lines in a polite and calm manner, being informative, and have confidence in the knowledge of treatments and products
- Host a calm, seamless client experience maintaining a friendly atmosphere
- Maintaining the 5 star standards of the clinic client areas, working with the team to make sure that no area is overlooked
- Stock control management, reconciling stock, ordering stock, uploading stock on the system, and responsible for stock numbers
- Providing retail product advice, understanding and have confidence in products and ingredients
- Manage client feedback including treatment reaction, product reaction, and the overall customer journey
- End of day banking, managing cash, card, and online payments. Resolving any issues and balancing the end of day
- Opening and closing of the clinic

This role would ideally suit an individual who may have had a clinical/beauty, luxury hotel/retail, aviation or medical administration background, who enjoys administrative tasks, loves guest liaison, is a real people person and is able to:
- Collaborate with other team members to ensure a holistic experience within the clinic
- Maintain a professional image with a high standard of grooming
- Passion to develop yourself and grow with the business
- Exceptional customer service, problem-solving and collaborative working
- Availability to work Monday – Saturday
- A Certificate III, IV or a Diploma of Beauty Therapy would be highly regarded
